Paperwork is part of the journey.

Start gathering documents before your goods travel. The exact requirements depend on the goods, route, transport mode and the relevant authorities. This checklist is a conversation starter, not a final legal or customs determination.

Commercial or pro forma invoice

Describe the goods clearly, including quantities, values, currency and the parties involved. The appropriate type of invoice depends on the transaction. Ask the clearing partner what is needed for your shipment.

Packing list

List the contents of each package, the number of packages, gross and net weights where available, and outer dimensions. Keep descriptions and quantities consistent with the invoice.

Transport document

An air waybill relates to air cargo. A bill of lading relates to sea freight. Confirm the named parties, references and release arrangements with your carrier or freight coordinator.

Goods-specific permits and certificates

Some products require licences, permits, certificates or safety documentation. Food, chemicals, batteries and other controlled goods need early discussion. Do not assume a general cargo document set is sufficient.

Who clears the goods?

Ghana Revenue Authority guidance explains the role of a clearing agent in port clearance. Sunesis describes regulated clearing work as coordinated through appropriately authorised partners unless its own relevant credentials are verified. Ask who is responsible for each action and charge.

  • Ask which originals, electronic copies or authorisations are required.
  • Confirm who will submit documents and meet any deadlines.
  • Ask how duties, taxes, inspections and local charges will be handled.
